Hampton Wick Baptist Church is committed to respecting your privacy and ensuring the personal information you have entrusted to us is processed in accordance with GDPR (General Data Protection Regulation) 2018.
HOW WE COLLECT PERSONAL INFORMATION
We collect personal information directly from you when you join our church or one of our activities (such as Take Time, a Life Group or our Sunday Service) or if you become a friend of our Church. We also need to collect information when you become a Church Member or if you are baptised or married at our Church or you are going to hire our premises and about some donations you may make to our Church.
We may also collect information about you if you contact our Church e.g. a request for information, prayer or pastoral support or if you volunteer with us in one of our activities, but we try to keep this as minimal as possible.

Personal identifiers such as your title, name and date of birth;
Contact details including postal address, postcode, email and telephone no(s).;
Donation details;
Whether you are a UK tax payer;
Church activities you are involved in;
Records of your contact with us.
Our web-site uses Google Analytics (a system used by many websites to record information about visits to their website). We use it to track the number of visitors to our website, which pages they look at and for how long. But this is all done anonymously and the statistics we receive do not contain any identifiable information that can be traced personally to you. WHY WE COLLECT YOUR PERSONAL INFORMATION (you may opt out of some of this if you want)
We collect your personal information:
For the administration of our activities, which may include notifying you of cancellations of meetings or changes in time or venue, letting you know what will be happening at future meetings or special events or what to bring to them
To let you know about other activities or special events we think you may be interested in
To celebrate your birthday
To ask for your feedback or opinion
To pass on prayer requests (to a trusted group of people in our Church)
To help you with any pastoral support you need
To respond to any communications you send/give us
For official records such as of Baptism, Marriage or Membership and minutes of any Church Meetings you attend
To claim Gift Aid
To safeguard children and vulnerable adults
To ask for your help or to ask you to volunteer with us
To ask you how you are if we haven’t seen you for a while or to send you a Christmas card
We may want to circulate contact lists in the future e.g. among a group travelling to an event, but if we do so we will get your express permission to do so first.
HOW WE STORE YOUR PERSONAL INFORMATION
Paper records are kept under lock and key and electronic records are kept in password protected documents on secure computers. If you give us permission we may also store your contact details on mobile phones.
emails will only be read on devices that are password or PIN-protected. We may store some of this information & use it e.g. in order to advertise a future event or to facilitate a Hall booking, in which case your information use will be processed in accordance with this Privacy Notice.
WHO WE SHARE YOUR PERSONAL INFORMATION WITH
We do not share the personal information of anyone who simply comes along to our activities. However if you take positions of responsibility within our Church then we may share just your contact details with third parties who may be necessary or useful to you in the exercise of that responsibility. Additionally, in exceptional circumstances, we may share information about you with relevant authorities if we believe it is our duty to do so.
HOW LONG WE KEEP YOUR PERSONAL INFORMATION
We may keep your personal information for up to four years after our last contact with you, unless there is statutory requirement for us to keep it longer e.g. gift aid donation details.
YOUR INFORMATION RIGHTS AND CHOICES
The Data Protection Act gives you the right:
To request in writing and securely obtain copies of the personal information we hold about you
To correct or update personal information we hold about you
To request we stop using your personal information for marketing purposes or for any other purpose where there is no legal requirement for continued processing
In addition, we will delete some or all of the personal information we hold about you if you request us to do so, provided that there is no legal requirement for us to hang on to it.
REPORTING CONCERNS
Please contact us if you wish to raise a concern about the way we handle your personal information. If you are not happy with our response then you have the right to lodge a complaint with the Information Commissioner’s Office.
CHANGES TO THIS PRIVACY NOTICE
Hampton Wick Baptist Church may update this privacy notice at any time, for example in the event of changes in the law or in how we operate. The latest version will be posted on our website and if there are any significant changes in the way we process your personal information, we will provide a prominent notice on our website and may send you a notification of it.
